Role Overview

At MorgenStreet, we believe seamless operations are the foundation of premium client experiences. As our Real Estate Operations Manager, you will oversee and optimize the systems that keep our boutique agency running smoothly — from CRM and workflows to agent support and compliance. This is a leadership role in operations, where you build the backbone of MorgenStreet: processes that scale, tools that empower, and a support structure that frees agents and leadership to focus on clients and growth. You are not just managing tasks; you are designing systems that multiply impact.

Core Responsibilities

As Operations Manager, you will take ownership of MorgenStreet’s internal operations. You will lead the Back Office Coordinator and support team, ensuring all workflows run reliably, from lead intake to contract completion.

You will be responsible for process design — mapping out client journeys, compliance steps, and agent support activities, then translating them into efficient workflows. You’ll oversee the CRM as the single source of truth, maintaining data integrity and generating actionable insights.

You will coordinate with agents, marketing, and leadership to identify bottlenecks, streamline systems, and build scalable processes. This includes managing compliance (e.g., Widerrufsbelehrung, DSGVO documentation), overseeing listing and contract workflows, and ensuring no lead or transaction falls through the cracks.

Your work ensures MorgenStreet operates like a premium, modern, and reliable boutique agency, with systems that give agents freedom, clients confidence, and leadership visibility.

Daily Tasks

  • Monitor CRM for accuracy, lead intake, and data flow.
  • Support and supervise Back Office Coordinator tasks, providing guidance where needed.
  • Ensure timely processing of client follow-ups, documents, and appointments.
  • Track active deals to confirm compliance steps are completed.
  • Communicate daily priorities and align with agents.

Weekly Tasks

  • Review pipeline and deal progress with leadership.
  • Conduct CRM and workflow audits to identify gaps or bottlenecks.
  • Coordinate listing and marketing alignment across active properties.
  • Update and document SOPs for recurring processes.
  • Hold weekly sync with back office team to review tasks and capacity.

Monthly & As Needed Tasks

  • Deliver monthly reporting on operations KPIs (CRM, contracts, compliance, turnaround times).
  • Review and update contract/document templates for accuracy.
  • Oversee compliance audits for active and closed deals.
  • Lead system improvement initiatives (CRM automation, integration with tools).
  • Onboard new agents or support staff into operational workflows.
  • Propose operational improvements to leadership and implement agreed changes.

Experience

You bring 3–4 years of experience in operations, business administration, or real estate support, with proven ability to design and manage workflows. Experience in real estate, premium services, or another regulated industry is an advantage.

  • Strong operational and organizational skills.
  • Hands-on experience with CRMs, workflow design, and reporting.
  • Solid understanding of compliance processes (contracts, data protection).
  • Analytical mindset with the ability to translate data into improvements.
  • Excellent communication in German; English is highly valued.
  • Leadership qualities to guide and mentor support staff.

Reporting & Success Metrics

You report to the Founder & Managing Director and collaborate with agents and marketing leadership. Success is measured by the smoothness, reliability, and scalability of operations.

  • Familiarity with listing portals and digital property workflows.
  • Strong command of digital collaboration tools (Google Workspace, Slack, Zoom).

Growth Path

This role begins with ownership of back-office operations and direct support management. As MorgenStreet grows, the Operations Manager will expand into overseeing a larger support structure, managing multiple back office coordinators, and operations specialists, and introducing advanced systems and automation.
